The RentoBotics RaaS Process
Initial Consultation
Everything starts with a conversation. You reach out via our contact form or email info@rentobotics.com, and we schedule a 30-minute call to understand your operation. We'll ask about your facility, your use case, your timeline, and your goals.
At this stage, we're not selling you anything. We're figuring out whether humanoid robotics makes sense for your specific situation right now โ and if it does, what the right approach looks like. We'll tell you honestly if you're 12 months too early, or if you're ready to move immediately.
Pre-Visit Questionnaire
If the initial consultation suggests a site assessment makes sense, we'll send you a brief pre-visit questionnaire. This takes about 15 minutes to complete and covers:
- Facility size and layout overview
- Current floor surface types
- Approximate doorway and aisle dimensions
- WiFi infrastructure details
- Current shift structure and operational hours
- Specific tasks you want the robot to perform
This information lets us prepare for the on-site visit and arrive with the right tools and questions. It also gives you a useful framework for thinking about your own readiness before we arrive.
On-Site Readiness Assessment
Our team visits your facility at a scheduled time. The assessment typically takes 2โ4 hours depending on facility size and complexity. We evaluate all six readiness categories โ floors, access and navigation, lighting and environment, connectivity and power, safety compliance, and workflow integration.
We walk every inch of your planned robot operating area, measure critical clearances, map WiFi signal coverage, and spend time with your operations team to deeply understand the tasks and workflows.
This is a compensated service. The fee is fully reimbursed upon signing a rental or purchase agreement.
Written Readiness Report
Within 5 business days of the site visit, you receive your written Readiness Report. It includes:
- Overall deployment recommendation: Ready / Ready with Modifications / Significant Preparation Required
- Category-by-category findings with specific observations
- Prioritized remediation steps if modifications are needed
- Estimated costs and timelines for any facility changes
- Recommended robot platform for your use case
- Proposed RaaS agreement structure and pricing
This document gives you everything you need to make an informed deployment decision โ and if your facility needs work first, it gives your facilities team a clear action plan.
RaaS Agreement & Facility Preparation
Once you're ready to proceed, we finalize the RaaS agreement โ defining the robot platform, rental duration, support terms, and pricing. At this point, your assessment fee is reimbursed.
If your facility needs preparation work (WiFi upgrades, floor repairs, safety barriers, charging station installation), this phase runs in parallel with agreement finalization. For most clients, facility prep takes 1โ3 weeks.
We stay in close contact throughout this phase to make sure everything is on track for deployment day.
Robot Delivery, Configuration & Installation
Our technical team delivers the robot from our Marlboro, MA facility to your location. We handle all transportation logistics โ you don't need to arrange anything. On-site, we:
- Install and configure the charging station
- Map the robot's operational environment
- Configure the specific tasks and navigation routes
- Verify WiFi connectivity and remote monitoring
- Test all safety systems and emergency stops
- Conduct a full operational run-through before handing over to your team
Delivery and installation typically takes one full day for a standard deployment.
Staff Orientation & Handover
Before we leave, we conduct a full orientation session with your team members who will be working near or alongside the robot. This covers safe interaction protocols, how to use the emergency stop, what normal operation looks like vs. what to report, and how to reach us for support.
We leave behind written documentation and a direct contact line to our technical support team. Nobody is ever left alone with a machine they don't understand.
Active Deployment & Ongoing Support
Your robot is live. During the rental period, RentoBotics provides:
- 24/7 remote monitoring of system health and connectivity
- Same-day or next-business-day on-site response for any technical issues within Massachusetts
- Scheduled preventive maintenance visits
- Software updates and configuration adjustments as needed
- Regular check-in calls to review performance against your KPIs
If something goes wrong, we respond โ not you. You focus on your operation. We keep the robot running.
Review, Renew, or Upgrade
As your rental period approaches its end, we sit down with your team to review performance data, evaluate ROI, and discuss next steps. The options are always yours:
- Renew: Extend the rental agreement โ same robot, same or adjusted terms
- Scale: Add additional units to expand the deployment
- Upgrade: Transition to a newer or more capable platform as the technology evolves
- Purchase: Convert to ownership if the use case is proven and the economics support it
- Conclude: We retrieve the robot โ no questions asked, no penalties
The RaaS model is designed to give you control at every stage. There's no lock-in that doesn't make sense for your business.
